Exhibition

Exhibitions are integral parts of every ESAO Congress. As an exhibitor, you will enjoy prime exposure and direct marketing opportunities with the experts in the field.
The floor plan is designed to maximize the exhibitor’s exposure to the delegates.
All coffee breaks and catering will be held in the exhibition area.
Poster sessions will be located near the exhibition area.

Stand Space Rental
The price for stand space is EUR 350 per square meter (minimum space 6 sqm = EUR 2100).
This includes:
· Exhibition Space

· 2 Exhibitor badges  +  1 badge for each additional 3 sqm booked

· Welcome Reception
· Company / product profile on congress website and Final Programme

Assignment of Space
Space will be assigned as requested wherever possible. 3D-PROEKT STUDIO DOO, on behalf of ESAO 2010, will make every possible effort to assign preferred booth location.
Careful consideration will be given to all requests. 3D-PROEKT STUDIO DOO, on behalf of ESAO 2010, reserves the right to relocate or reassign booths at any time for the overall benefit of the Congress. The map of the exhibition layout will be soon at your disposal, and the exhibitors will be able to choose their places. We follow the democratic principle of “first come first serve”, and we will appreciate your understanding in this matter.

Exhibitor Registration
All exhibitors are required to be registered and will receive a badge displaying the exhibiting
company name. Two exhibitor badges will be given for the 6 square meters booked +  1 badge for each additional 3 sqm booked.  Any additional exhibitors will be charged an exhibitor registration fee of EUR 150.

Manning of Stands
Exhibitors will be required to ensure that their stands are manned during the opening hours
of the exhibition and must not dismantle their stands before the published closing time.

Company / Product Profile
A complete listing of all exhibitors, including a 100-word entry will be featured on the congress website and the Final Program. The exhibitors are kindly requested to send the appropriate text to the Organizer.

Give-aways and Distribution of Printed Materials
Give-aways and printed material may only be distributed in the space rented by the exhibitor in the exhibition hall or at Industry symposia. No such material may be distributed in any hotel used by the meeting. Product identification is permitted on give-aways.

The acceptance of a product or service for exhibition does not in any manner constitute an
endorsement by the Organisers.

Security and Insurance
The Organisers will not be held responsible for any loss or damage to exhibitors’ goods and
exhibitors are reminded that they should take out their own insurance to cover for this.

Health and Safety at Work Regulations
It is the responsibility of the exhibitor to ensure that his contractor, employees, displays and exhibits comply with the latest legislation regarding Health and Safety at Work regulations.


EXHIBITION LAYOUT

INDUSTRY SYMPOSIA
Six industry symposia are offered. They will be held between 12:00 – 13:00 in rooms with 250 seats on September 9 and 10, 2010. The cost for rooms A, B and C is 5000 EUR.
Following rules and benefits apply:

  1. Companies will be entitled to insert a flyer announcing their symposium in the congress bag at no additional cost. Symposia programmes will also be featured in the final congress programme and on the ESAO 2010 website.
  2. Companies are allowed to distribute flyers and other documents advertising their symposium. These documents can be distributed only within the limits of the exhibition stand of the company holding the advertised symposium. It is strictly forbidden to distribute handouts at any other area.
  3. Companies are allowed to advertise their symposium by displaying freestanding posters in front of the doors of the conference room used to hold their own symposium. It is strictly forbidden to advertise at any other area. Further information will be sent to the sponsors in due time.
  4. Companies holding an official symposium during the ESAO 2010 congress are entitled to receive, at no extra cost, the list of pre-registered participants. This list will be issued and sent by the organisers one month prior to the event. Symposia sponsors are responsible for all travel and hotel accommodations for their speakers. Complimentary congress registration for symposia speakers will be offered by the Congress Organisers.
  5. Companies holding an official symposium are requested to provide the organisers with the following information regarding their symposium:
    1. Title of the symposium
    2. Speakers names and title of each presentation
  6. This information must be provided to the organisers by June 15, 2010.
  7. All conference rooms used for symposia will be equipped with the same material. The standard equipment of each conference room is included in the rental price of each symposium: only single Power Point projection will be provided. No translation will be provided in any room and during any session. Any additional audio-visual equipment can be ordered at an extra cost.
  8. Lunch boxes will be provided to all registered participants.

SPONSORSHIP OPPORTUNITIES
Educational Plenary Sessions – EUR 5.000

The congress will feature 3 Plenary Sessions of 60 minutes which are open to sponsorship. The programme of the session will be elaborated by the ESAO 2010 Scientific Committee and the sponsor company will receive acknowledgement for an unrestricted educational grant.

Congress bags - EUR  5.000
Sponsorship of the congress bags represents a unique opportunity to promote your company and product in a very prominent and visual way. The cost of EUR 5.000 will cover the supply of 700 congress bags.
The sponsorship will include:

Notepads and Pens EUR 2.000
Notepads and pens will be included in the Congress bags provided to each registrant at the conference. The cost of EUR 2.000 will cover the supply of 700 pads and pens.
The sponsorship will include:

Lanyards for badges EUR 3.000
All delegates will be provided with a lanyard printed with your company logo. Participants must wear their name badge and lanyards throughout the conference. The cost of EUR 3.000 will cover the supply of 700 badge lanyards.

Poster presentations are a central focus of the ESAO Congress, with all delegates invited to view these posters during the lunch and coffee breaks.

SOCIAL EVENTS

Coffee Breaks EUR 1.500 per break

Coffee, tea and biscuits will be served daily (morning and afternoon), between the sessions, to all delegates and accompanying persons.

Welcome Reception EUR 10.000

The Welcome Reception is a highly popular and well-attended event to be held on the evening prior to the start of the scientific sessions on Wednesday, 8 September 2010, after the official Congress Opening Ceremony.

By invitation only, this event will be attended by ESAO Committee Members, Speakers,Chairmen & VIPs. This event is scheduled on Thursday, 9 September 2010.

All registered participants, including exhibitors are invited to an exclusive concert on the evening of Thursday, 9 September 2010 (venue and programme to be confirmed.)

Final Congress Programme (A5 / Colour)
The Final Congress Programme includes all the information concerning scheduled sessions, the social programme and general information about the conference. It is distributed to all congress participants.

Promotional documents can be inserted in all congress bags handed out on site thus reaching all registered participants.

Cancellation Policy
Cancellation and changes to your original booking must be made in writing to 3D-Proekt Design. The deposit of 50% will not be returned concerning cancellation of any kind of booking.
